Knox County Homeless Coalition (KCHC) is seeking an Executive Assistant to join our growing, client-focused, team-oriented agency. Reporting directly to the Executive Director, the Executive Assistant will provide comprehensive support to the Executive Director in areas critical to Development, Communications, client facing activity, Advocacy and Board related activities. The Executive Assistant will also serve as a liaison with the KCHC Board of Directors. The Executive Assistant must be creative, resourceful, an excellent problem solver, highly organized, and enjoy working within an environment that is mission-driven, strengths-based, and client-focused. This is a new position and a unique opportunity to provide high level support to a passionate, mission-driven team.
The ideal individual will have the ability to exercise sound, independent judgment in a variety of situations, and to handle confidential matters and information with discretion, professionalism and diplomacy. They will be service-oriented and solution-focused. The Executive Assistant will have strong interpersonal and listening skills, be able to communicate effectively in diverse settings and interact respectfully with a wide range of ages, backgrounds, and personalities. A positive attitude, flexibility, and sense of humor are a must.
The Executive Assistant will possess extremely strong written and verbal communication skills, administrative, and organizational skills, project management skills, and the ability to maintain a realistic balance among multiple, competing priorities and deadlines. Frequent interruptions and changing priorities are to be expected. Attention to detail will be required to perform this job successfully.
The Executive Assistant will provide high level administrative support, manage an extremely active calendar of meetings and events, and prepare and coordinate logistics for the Executive Director. They will also support the work of the Board of Directors including coordinating meetings, preparing materials, managing public notifications, taking meeting minutes, and assisting the Board Chair and Committee members. Other duties include supporting key fundraising activities, including events and major donor engagement, as well as project management support for special events and agency/client/external projects, ensuring that tasks and assignments are completed on time. The Executive Assistant will interact with and support the KCHC senior staff on a range of activities on a regular basis.
The Executive Assistant also cross-trains with the Administrative Assistant, the Development Coordinator, and other administrative staff on functions that support the full organization.
A valid driver’s license is required, and tasks may require travel around the Midcoast region.
Qualified candidates for this position will have a minimum of 4 years of progressive administrative experience supporting senior level staff, or be able to articulate how their experience and/or skills prepare them for the role as defined. Nonprofit experience, a plus.
This position will pay $20 - 24/hr, based on experience. KCHC continues to monitor the COVID-19 crisis and has implemented protocols which attempt to minimize risk for staff and clients. As employees providing a critical service to our community, we have an important responsibility to continue our essential work. However due to the COVID-19 pandemic, many of our teams have shifted to working remotely from home, when possible. This role is currently based out of our Rockport location and the Executive Assistant will have regular onsite job functions with some ability to occasionally work remotely after an initial onboarding and training period. This is not intended to be an indefinite remote working arrangement, and as such when it is safe and appropriate to return to the office it would be an expectation that this staff member would also return to the office in Rockport.
